City of Barrie Optimizes Infrastructure Management using Cityworks

Solution The City of Barrie developed a corporate asset management strategy that involved recording accurate, up-to-date information for all infrastructure related to water, roads and parks. Data from disparate sources in multiple formats was then converted into operational data models and consolidated in a centralized database. Next, the City worked with Esri Canada Professional Services consultants to implement the Cityworks Work Management solution. The automated solution leverages data from within the City's existing GIS database and allows the City to track incoming service requests, distribute requests to the appropriate staff member, schedule required work and monitor the progress of projects across the municipality. The solution can also be used to automatically schedule recurring, cyclical preventative maintenance work. Using Cityworks, operational staff can get a complete snapshot of ongoing maintenance through a GIS-generated map view. They can also directly edit asset attribute information related to hydrants, water meters, sewer manholes, right-of-way and other assets. Once a project is complete, work orders are automatically closed out in the system and can be printed or used to generate reports associated with a specified geographic region or spatial data type. Benefits Through Cityworks, The City of Barrie has achieved a common operational picture of its assets while expanding access to real-time data across the organization. Within minutes, operational staff can access a history of work orders related to an asset, as well as corresponding photos to make informed maintenance-related decisions. With its data stored in a central database, City staff can also readily identify gaps in asset information. The ability to analyze costs associated with labour, material, services and equipment supports an informed approach to long term capital planning and makes it easy to pull reports for budgeting or audits. Since requested and completed work is linked back to specific assets, GIS data can be used to identify problem areas where there appears to be issues related to service levels or asset conditions. Cityworks has also extended the ability to edit asset information to a wider audience. Operational staff no longer needs to rely on a GIS data custodian to update asset data and can easily change information directly in Cityworks, helping to ensure correctness and currency of data. To further enhance efficiencies, The City of Barrie is looking to potentially implement a mobile solution that would enable field crews to update an asset's attribute data onsite.
